These policies are designed to protect students, families, teachers, scheduling consistency, and overall educational quality. By enrolling in Apollo Music Academy programs, all families acknowledge and agree to the policies outlined below.

Enrollment & Tuition
Tuition reserves:
- Your recurring weekly lesson time
- Teacher scheduling
- Lesson preparation
- Curriculum planning
- Ongoing academy support and administration
Tuition is based on enrollment and reserved instructional time, not attendance.
All tuition payments are non-refundable unless otherwise required by California law.

Autopay & Billing
All ongoing enrollments require a valid payment method on file.
Tuition is automatically processed on the academy's scheduled billing date each month.
Families are responsible for maintaining updated billing information.
Returned payments, declined transactions, or failed autopay attempts may result in:
- Late fees
- Suspension of lessons
- Loss of reserved scheduling

Late Payment Policy
Tuition is due on the academy's scheduled billing date.
Apollo Music Academy provides a grace period through the 1st day of the following month.
If payment remains unpaid after the grace period:
- A $25 late fee may be applied
- Additional daily late charges may accrue
- Lessons may be paused until payment is resolved
Repeated late payments may affect enrollment status.

Attendance Policy
Consistent attendance is essential for musical growth and curriculum progression.
Students are expected to attend lessons on time and prepared with:
- Required materials
- Instruments
- Books
- Assignments
- Proper technology setup for online lessons
Late arrivals do not extend lesson end times.

Student Absences
Missed lessons are non-refundable.
When sufficient notice is provided, Apollo Music Academy may offer:
- A make-up lesson
- Group make-up class
- Recorded lesson
- Practice assignment
- Supplemental educational material
All make-up accommodations are subject to teacher and academy availability.

Same-Day Cancellation Policy
Lessons canceled with less than 24-hour notice are considered forfeited and do not qualify for a live make-up lesson.
To support continued student progress, Apollo Music Academy may provide:
- A brief recorded lesson
- Guided exercises
- Practice instructions
- Supplemental assignments
Recorded lesson substitutions are:
- Approximately 5 minutes in length
- Intended as educational support
- Not equivalent to a full private lesson
This policy includes:
- Oversleeping
- Last-minute conflicts
- Forgotten appointments
- Non-emergency scheduling issues

No-Show Policy
Students who fail to attend their scheduled lesson without communication are considered no-shows.
No-show lessons are forfeited and do not qualify for a live make-up lesson.
At the academy's discretion, students may still receive:
- A brief recorded lesson
- Practice guidance
- Supplemental educational material
Repeated no-shows may result in:
- Schedule review
- Loss of preferred time slots
- Enrollment suspension or termination

Illness Policy
Students who are sick should remain home.
When appropriate, students may request:
- Online lesson conversion
- Recorded lesson support
- Supplemental assignments
Apollo Music Academy reserves the right to move lessons online during illness outbreaks, emergencies, or other circumstances affecting in-person instruction.

Teacher Absences & Substitutes
If a teacher must miss a lesson, Apollo Music Academy may provide:
- A substitute instructor
- A make-up lesson
- Online instruction alternative
- Account credit when appropriate
Apollo Music Academy reserves the right to assign substitute teachers to maintain instructional continuity.

Schedule Changes
Schedule change requests are subject to teacher and academy availability.
Schedule changes are not guaranteed.
Frequent schedule changes may not be accommodated in order to preserve scheduling consistency for all students and teachers.

Withdrawal & Enrollment Cancellation
Families wishing to withdraw must provide written notice at least 14 days before the next billing cycle.
Failure to provide proper notice may result in upcoming tuition charges remaining due.
Reserved lesson times are not indefinitely held without active enrollment.
Students who withdraw may lose their reserved time slot and may be subject to re-enrollment availability.

Online Lessons & Technology
Families participating in online lessons are responsible for:
- Stable internet connection
- Device functionality
- Proper audio/video setup
- Timely attendance
Technology issues on the student side do not automatically qualify for refunds or make-up lessons.

Parent Observation Policy
Parents are welcome to observe lessons when appropriate.
To maintain an effective learning environment, parents are expected to:
- Observe respectfully
- Avoid interrupting instruction
- Avoid coaching during lessons unless invited by the teacher
Apollo Music Academy reserves the right to limit observation privileges if disruptions occur.

Behavioral Expectations
Apollo Music Academy maintains a respectful and safe educational environment.
Students and families are expected to demonstrate respectful behavior toward:
- Teachers
- Staff
- Other students
- Vendor partners
- Academy property
Apollo Music Academy reserves the right to suspend or terminate enrollment for:
- Unsafe behavior
- Harassment
- Bullying
- Repeated disruption
- Inappropriate conduct
- Repeated policy violations

Instrument & Equipment Responsibility
Students and families are responsible for maintaining proper care of personal instruments and materials.
Apollo Music Academy equipment may not be used outside supervised instruction unless authorized.
Families may be financially responsible for damages caused by negligence or misuse.

Media Release
Apollo Music Academy may photograph or record:
- Lessons
- Group classes
- Performances
- Events
- Recitals
Media may be used for:
- Social media
- Marketing
- Promotional materials
- Website content
- Educational purposes
Families who wish to opt out must notify the academy in writing.

Communication Policy
Families are encouraged to communicate respectfully and professionally with teachers and staff.
Apollo Music Academy maintains business communication hours and response timelines.
Immediate responses outside business hours are not guaranteed.

Recitals & Events
Apollo Music Academy may offer optional performances, showcases, recitals, and academy events.
Participation requirements, attire, fees, rehearsal expectations, and schedules may vary by event.
Event details are subject to change.
Photography and recording may occur during events.

Force Majeure & Emergency Operations
Apollo Music Academy reserves the right to:
- Modify schedules
- Transition online
- Reschedule services
- Adjust operations
due to circumstances beyond reasonable control, including:
- Illness outbreaks
- Natural disasters
- Facility closures
- Internet outages
- Emergencies
- Government restrictions

Intellectual Property
All Apollo Music Academy curriculum, lesson structures, videos, graphics, worksheets, educational systems, branding, and materials remain the intellectual property of Apollo Music Academy.
Materials may not be:
- Reproduced
- Distributed
- Shared publicly
- Commercially used
without written permission from Apollo Music Academy.

Policy Updates
Apollo Music Academy reserves the right to update policies, tuition structures, scheduling procedures, and operational guidelines at any time.
Updated policies will be communicated to enrolled families when applicable.

By enrolling in Apollo Music Academy programs, families acknowledge that they have read, understood, and agreed to the policies outlined in this handbook.
