Information Collected

Names, contact details, student age, program interest, schedule needs, and inquiry details may be collected through forms.

Registration records the applicable service-agreement version, required acceptance and named adult, along with any separate optional publicity choice. A submitted general service agreement does not record permission for lesson recording or transcription. Any later permission record identifies its actual student, purpose, choice, disclosure version and date.

Parent and Student Information

Parents or guardians may share student age, goals, experience, schedule needs, equipment, and learning context so Apollo can recommend the right starting path.

How It Is Used

Apollo uses submitted information to respond, recommend placement, coordinate lessons, and support families or schools.

Payment Handling

Apollo uses third-party booking or payment tools for payment activity. Families should not send card numbers, passwords, medical records, or sensitive private records through website forms.

No Public Student Data

Family Support Center pages do not display private student records, payment data, or individual progress reports.

Third-Party Tools

Soundworks offers optional YouTube playback for an explicit collaboration. YouTube player code and the embedded player load only after you confirm that you are 18 or older and choose to continue. This uses YouTube's privacy-enhanced player; it still connects to Google and YouTube, which receive information such as your IP address and browser details under the Google Privacy Policy and YouTube Terms of Service. Apollo keeps this confirmation only for the current page and does not collect a date of birth. Closing the player ends embedded playback. The Academy homepage includes only the two clean audio tracks and does not load this YouTube player.

Apollo uses tools such as Netlify hosting, FormSubmit email routing, Square booking and payments, Google Search Console, Google Analytics, optional Meta advertising tracking, and email or phone communication.

Zoom supports online lessons. Registration does not authorize recording or audio-to-text transcription. Before any such capture, Apollo must disclose the specific feature, actual outputs, retained audio or video if any, access and recipients, storage locations and retention periods, and obtain the applicable separate permission.

Contact Verification

For a selected transaction, Apollo may send a one-time security code to the adult parent or guardian email address or mobile number through a configured delivery provider. Requesting or confirming a code is not an inquiry, marketing opt-in, booking, enrollment, or advertising conversion. Challenges remain in short-lived transaction sessions; durable paid records keep only the minimal verification result.

Advertising Measurement

Optional consent-aware analytics may record non-identifying page views, selected transaction path, checkout start, and aggregate abandonment. Apollo reports paid-trial scheduling, purchases, attendance, and enrollment only after server verification. Contact/intake completion is not reported as a Meta Lead or GA4 generate_lead conversion. Apollo does not send child names, free text, card details, passwords, or sensitive student records to advertising tools.

Retention and Requests

Incomplete Fall funnel sessions expire after 45 minutes and are automatically purged; payment-pending reconciliation may remain transient for up to 120 minutes. A submitted session that reaches Square with separate one-time support permission and a currently verified contact may appear in Apollo’s protected transaction-support queue until that same expiry. It does not enter Apollo’s inquiry or marketing lists. Verified payment, booking, enrollment, accounting, and legally required records are retained only for legitimate operational, accounting, legal, and safety needs. Families may contact Apollo to request access, correction, or deletion when appropriate.

Optional Save & Resume

If a parent or guardian separately chooses Save & Resume, Apollo may keep the minimum progress needed to continue—including the submitted guardian and student details, both submitted phone and email fields, verified-contact proof, selected path and recommendation, an exact tuition-page preference when present, and the limited landing/campaign attribution already attached to that transaction—in encrypted private storage for no more than seven days. The one-use resume link may be sent only through a contact channel verified in that session or, when delivery is not configured, shown for copy/open in the current secure session. Opening the page does not consume the link; explicit activation does. Activation removes that saved link and its sibling links and replaces them with a short-lived, signed, HttpOnly same-browser continuity session. Unused records expire within seven days, and verified completion also removes associated saved progress. This optional choice is not payment, booking, enrollment, a general inquiry, marketing consent, or an advertising/analytics lead or conversion. Apollo suppresses Meta and GA4 for this saved-progress lifecycle and does not use the retained campaign context to trigger advertising measurement. Twilio Verify may prove control with a code; an optional resume-link SMS uses separately configured Twilio Programmable Messaging, not the Verify Service.

Optional One-Time Transaction Help

If an adult separately checks the optional transaction-help box, submits the intake, verifies a contact method, and reaches Square or Apollo’s fixed-cohort payment handoff, Apollo may contact that verified method one time to help finish that specific booking or enrollment before the secure session expires. The choice starts unchecked, is not marketing consent, is not a lead, and does not create an advertising audience. A minimal owner alert contains an opaque support reference—not family details—and is never contact authorization by itself. Authorized staff must sign in, check Square, and claim one verified contact action; the destination is released only to the first successful claim and is then removed from the queue. Apollo does not collect or recover fields typed in the browser but never submitted.

Children's Privacy

Apollo forms are intended for parents, guardians, school representatives, and adult applicants, not for young children to submit personal information directly.

Media Consent

Optional publicity is separate from enrollment. A separate affirmative choice may allow selected photographs or short promotional video clips of the named student during the identified program for Apollo’s public website, unpaid posts on Apollo’s own Instagram and Facebook accounts, and printed Apollo promotional materials. Public material may be viewed and copied by others. This limited choice does not allow the student’s name or identifying school/contact details, partner redistribution, paid advertising, or recording/transcribing the regular lesson. Those uses need their own applicable permission.

Choosing No or leaving the publicity choice unanswered does not affect normal lesson access, instruction or teacher-written notes. An unanswered choice grants no permission. Contact Ashton to withdraw permission for future capture/use and request removal from Apollo-controlled online channels; Apollo cannot promise retrieval of printed material or copies made by others. Permission must identify the individual student and program; a multi-student registration does not grant one shared permission for everyone.

Registration and payment do not authorize lesson recording or audio-to-text transcription. Before any such capture, Apollo will explain the specific use, what is created or retained, who can access it, and the storage and retention arrangements, and obtain the applicable separate permission. Without that permission, lessons continue with teacher-written notes at no extra charge. Read the recording and transcription requirements.
