Piano Pathways · Separate permission

Automatic-transcription agreement

Adopted October 7, 2026 · Version TRANSCRIPT-2026-10-07-ADOPTED-1

Read the agreement before deciding. This page is a reference copy. It does not collect permission or change your recorded service agreement. Staff presents the separate permission choices manually during registration.

Before permission collection or student capture: staff must complete the applicable notice and parental-verification requirements and a separately authorized consenting-adult technical check. That check includes automatic start and notices, reliable stopping, staff-only raw-text access, the restricted view-only delivery route with downloads disabled, and deletion/Trash behavior. Publishing this agreement does not establish that capture or private sharing is ready.

Why we use text transcripts

Apollo Music Academy uses automatic Zoom speech-to-text processing during Piano Pathways classes to prepare a teacher-reviewed instructional transcript and practice assignment. This included resource helps enrolled learners review the lesson or catch up after an absence. It does not replace the purchased live class, create a makeup class or change existing cancellation, credit, refund or nonlaunch protections.

What is processed

Automatic transcription may begin when the meeting opens. It can include the teacher, learner, speaking guardian and anyone whose speech reaches an open microphone, with speaker labels and information spoken aloud. Redaction happens after initial processing; we do not promise teacher-only capture. This permission covers text transcription and the speech processing needed to create it. It does not authorize Apollo or participants to make or share audio/video recordings, marketing material or public posts. Zoom processes content under its privacy statement; this agreement does not promise that Zoom stores no audio or has no provider access.

Review and private access

Ashton reviews the instructional text, corrects errors, removes learner names, speaker labels, identifying context, personal disclosures and unrelated discussion, and identifies substantive teacher-added explanations. He adds the actual practice assignment and aims to make the reviewed resource available within two business days after class. An AI summary alone does not fulfill this resource. Access is through a restricted, view-only cohort link for verified parents/guardians of enrolled minors or adult learners in that same cohort, including absent enrolled learners. Downloads are disabled on the selected route. Raw drafts are not automatically shared with families. Please do not copy, forward or publicly post the resource; Apollo cannot guarantee prevention of screenshots or copies.

Raw and reviewed retention

Raw text and working copies are restricted to Ashton and specifically authorized staff. Apollo removes its accessible raw working copies and initiates provider deletion within seven calendar days after class. Reviewed-resource access ends at 11:59 p.m. America/Los_Angeles on January 20, 2027, when Apollo removes access and initiates deletion of its reviewed copies. These course targets are not statutory periods or promises of completed provider erasure. Deleted Zoom transcripts can remain recoverable in Trash for 30 days when enabled; actual settings and provider/legal retention must be checked. Zoom Trash guidance Apollo cannot erase recipient-made copies. Any necessary legal/incident hold is limited, restricted and recorded separately; lesson content is not retained indefinitely.

Your choice and requests

Give separate affirmative permission before admission or first speech. A guardian must have authority for the identified minor; staff also gives the learner an age-appropriate explanation and records assent. Each adult speaker gives their own permission. An invoice, payment, joining Zoom, silence or an onscreen notice does not constitute Apollo's permission record. Contact Ashton through the academy contact provided in your dated registration agreement to ask questions, review/correct information, request deletion or withdraw permission; staff verifies the requester before responding.

If permission is missing, declined or withdrawn, Apollo will not continue capturing that person's speech. Before class, staff holds admission to the automatically transcribed room while Ashton resolves a noncapturing arrangement under the existing course terms. No new fee, forfeiture or no-show penalty is imposed for declining. If no suitable arrangement can be provided, Apollo resolves participation and any existing credit/refund obligations without inventing a new remedy rule. During class, staff stops further capture using the verified procedure; if stopping is unreliable, affected speech/class activity in that room stops while the arrangement is resolved.

Accidental capture or a missing transcript

If unpermitted or sensitive speech is captured, staff stops further capture, restricts the affected draft, excludes it from sharing and arranges prompt scoped deletion, subject to any necessary legal preservation. Ashton assesses correction and any required communication with affected people. If a lawful, technically ready transcript is unavailable, Apollo explains the gap. Any interim resource is labeled “Teacher-authored lesson record — not a verbatim transcript” and does not silently fulfill the promised transcript or replace live teaching.

Your separate manual permission choices

The wording below is a read-only copy. Staff presents the applicable guardian or adult-speaker permission and the decline/discuss choice separately, unchecked, with no answer selected in advance. A guardian who speaks also makes the adult-speaker choice. These choices are separate from course-price acceptance and marketing permission; leaving a choice blank grants no permission.

Guardian permission

I have read the Piano Pathways automatic-transcription agreement, including the adopted access and retention terms. I confirm that I am authorized to give permission for the identified learner. I give permission for the disclosed automatic speech-to-text processing, restricted staff review and private same-cohort delivery of the edited instructional resource. I understand this does not authorize audio/video recordings, marketing or public posting, and that I can contact Ashton to decline or withdraw permission.

Adult learner or other adult speaker

I have read the agreement and consent to the disclosed automatic speech-to-text processing of my class speech, restricted staff review and private same-cohort delivery of the edited instructional resource. I understand this does not authorize audio/video recordings, marketing or public posting, and that I can contact Ashton to decline or withdraw permission.

Decline / discuss first

I do not give permission, or I want to discuss this before deciding. Please contact me before admission to an automatically transcribed class.

Staff records the identified learner and speaker, signer and authority verification, the exact agreement version presented, the actual decision and date/time, and the staff verification reference in a restricted permission record. Staff separately records the learner’s age-appropriate explanation and assent, and every other speaker’s permission. A checkbox or signature alone does not prove that any legally required parental-verification procedure is complete. Withdrawal is recorded as a later decision; it does not erase the earlier record.

Use the staff’s private permission process for this agreement. Do not send permission decisions or identity-verification records through a public interest form. No permission choice or learner information is submitted from this page.
