Welcome to Apollo Music Academy. Our mission is to provide high-quality, engaging, and structured music education in a professional, supportive, and inspiring environment.

These policies are designed to protect students, families, teachers, scheduling consistency, and overall educational quality. By enrolling in Apollo Music Academy programs, all families acknowledge and agree to the policies outlined below.

Enrollment & Tuition

Tuition reserves:

  • Reserved recurring weekly lesson time
  • Teacher scheduling
  • Lesson preparation
  • Curriculum planning
  • Ongoing academy support and administration

Tuition is based on enrollment and reserved instructional time, not attendance.

All tuition payments are non-refundable unless otherwise required by California law.

Trial Placement Appointments

The $29 Trial Placement reserves a specific appointment time and is separate from ongoing tuition.

Trial fees are non-refundable once booked and are not automatically credited toward enrollment unless an active promotion explicitly says otherwise.

One reschedule may be requested with at least 24 hours' notice, subject to availability.

Same-day cancellations and no-shows forfeit the trial appointment and trial fee unless Apollo approves an exception or applicable law requires otherwise.

Group Program Enrollment

Group tuition reserves the student's place in a specific cohort. Tuition is not calculated solely according to attendance.

Little Apollos™ Music & Play, Apollo Music Foundations™, and Piano Core groups begin with an initial 12-week enrollment unless a specific seasonal offer states otherwise.

After the initial commitment, enrollment may continue according to Apollo's active renewal and withdrawal policy.

Cohorts begin once the required enrollment and schedule are confirmed.

If a cohort cannot begin or remain active, Apollo may delay the start date, combine compatible cohorts, offer an online alternative, offer private placement, transfer the student to another session, or refund tuition for a class Apollo is unable to operate.

Fixed 12-Week Programs

Apollo Signature Song Sessions™ and Apollo Music Production Lab™ are complete fixed-term 12-week programs, not ordinary month-to-month cancellation plans.

Payment plans divide the full program price. Once the program begins, scheduled installments remain due unless Apollo approves an exception or applicable law requires otherwise.

Student withdrawal does not automatically cancel remaining installments. Missed sessions are non-refundable.

Transfers, credits, substitutions, reschedules, or exceptions are handled at Apollo's discretion based on the situation.

If Apollo cannot provide the scheduled program or a qualified substitute, Apollo will provide an appropriate makeup, reschedule, transfer, credit, refund, or equivalent educational resource depending on the circumstance.

Group Absences & Academy Cancellations

Group tuition is not prorated or refunded for student absences.

Group students may receive class resources, assignments, or a brief recap when available.

A missed group class does not automatically include a private make-up lesson.

The approximately five-minute recorded-lesson policy for same-day cancellations and no-shows applies to private lessons, not automatically to group-program absences.

When Apollo cancels a class and cannot provide a qualified substitute, Apollo will provide an appropriate makeup, account credit, rescheduled class, or equivalent learning resource.

Calendar, Materials & Discounts

Monthly tuition reserves ongoing enrollment and is based on Apollo's annual teaching calendar. Families are not charged extra for ordinary five-week months, and tuition is not automatically reduced for planned academy closures.

Registration remains $50 annual registration, $25 sibling registration, with a $100 family maximum.

Books, curriculum kits, instruments, or special program materials may be billed separately when required.

Only one promotional discount may apply per student. Sibling pricing cannot automatically stack with another promotion. Promotional rates are not retroactive, and promotions must have an expiration, enrollment limit, or defined eligibility.

Grandfathered pricing may be reviewed when a student changes programs or delivery format.

Billing Timing

Invoices are issued on the 28th.

Apollo provides a grace period through the 1st day of the following month.

A $25 late fee may be applied on the 2nd when payment remains unpaid.

After the late fee, daily charges may accrue: $1 per day when the unpaid balance is under $200, or $2 per day when the unpaid balance is $200 or more.

Lessons may be paused when an account remains unpaid. Repeated late payment may affect enrollment or reserved scheduling.

Late Payment Policy

Families are responsible for keeping invoices current and communicating promptly if a payment problem occurs.

Returned payments, declined transactions, unresolved balances, or repeated late payments may result in late fees, paused lessons, loss of reserved scheduling, or enrollment review.

Apollo does not publicly require autopay unless the actual payment system for a specific enrollment requires it.

Attendance Policy

Consistent attendance is essential for musical growth and curriculum progression.

Students are expected to attend lessons on time and prepared with:

  • Required materials
  • Instruments
  • Books
  • Assignments
  • Proper technology setup for online lessons

Late arrivals do not extend lesson end times.

Student Absences

Missed lessons are non-refundable.

For private lessons, when sufficient notice is provided, Apollo Music Academy may offer:

  • A make-up lesson
  • Group make-up class
  • Recorded lesson
  • Practice assignment
  • Supplemental educational material

All make-up accommodations are subject to teacher and academy availability.

Group-program absences follow the group absence policy and do not automatically qualify for a private make-up lesson.

Same-Day Cancellation Policy

Lessons canceled with less than 24-hour notice are considered forfeited and do not qualify for a live make-up lesson.

To support continued student progress, Apollo Music Academy may provide:

  • A brief recorded lesson
  • Guided exercises
  • Practice instructions
  • Supplemental assignments

Recorded lesson substitutions are:

  • Approximately 5 minutes in length
  • Intended as educational support
  • Not equivalent to a full private lesson

This policy includes:

  • Oversleeping
  • Last-minute conflicts
  • Forgotten appointments
  • Non-emergency scheduling issues

No-Show Policy

Students who fail to attend their scheduled lesson without communication are considered no-shows.

No-show lessons are forfeited and do not qualify for a live make-up lesson.

At the academy's discretion, students may still receive:

  • A brief recorded lesson
  • Practice guidance
  • Supplemental educational material

Repeated no-shows may result in:

  • Schedule review
  • Loss of preferred time slots
  • Enrollment suspension or termination

Illness Policy

Students who are sick should remain home.

When appropriate, students may request:

  • Online lesson conversion
  • Recorded lesson support
  • Supplemental assignments

Apollo Music Academy reserves the right to move lessons online during illness outbreaks, emergencies, or other circumstances affecting in-person instruction.

Teacher Absences & Substitutes

If a teacher must miss a lesson, Apollo Music Academy may provide:

  • A substitute instructor
  • A make-up lesson
  • Online instruction alternative
  • Account credit when appropriate

Apollo Music Academy reserves the right to assign substitute teachers to maintain instructional continuity.

Schedule Changes

Schedule change requests are subject to teacher and academy availability.

Schedule changes are not guaranteed.

Frequent schedule changes may not be accommodated in order to preserve scheduling consistency for all students and teachers.

Withdrawal & Enrollment Cancellation

Families wishing to withdraw must provide written notice at least 14 days before the next billing cycle.

Failure to provide proper notice may result in upcoming tuition charges remaining due.

Reserved lesson times are not indefinitely held without active enrollment.

Students who withdraw may lose their reserved time slot and may be subject to re-enrollment availability.

Fixed 12-week programs follow their fixed-term payment policy rather than ordinary month-to-month withdrawal.

Online Lessons & Technology

Families participating in online lessons are responsible for:

  • Stable internet connection
  • Device functionality
  • Proper audio/video setup
  • Timely attendance

Technology issues on the student side do not automatically qualify for refunds or make-up lessons.

Parent Observation Policy

Parents are welcome to observe lessons when appropriate.

To maintain an effective learning environment, parents are expected to:

  • Observe respectfully
  • Avoid interrupting instruction
  • Avoid coaching during lessons unless invited by the teacher

Apollo Music Academy reserves the right to limit observation privileges if disruptions occur.

Behavioral Expectations

Apollo Music Academy maintains a respectful and safe educational environment.

Students and families are expected to demonstrate respectful behavior toward:

  • Teachers
  • Staff
  • Other students
  • Vendor partners
  • Academy property

Apollo Music Academy reserves the right to suspend or terminate enrollment for:

  • Unsafe behavior
  • Harassment
  • Bullying
  • Repeated disruption
  • Inappropriate conduct
  • Repeated policy violations

Instrument & Equipment Responsibility

Students and families are responsible for maintaining proper care of personal instruments and materials.

Apollo Music Academy equipment may not be used outside supervised instruction unless authorized.

Families may be financially responsible for damages caused by negligence or misuse.

Student Safety & Instructional Contact

Verbal explanation and teacher demonstration are the preferred first methods of instruction.

Any necessary physical guidance must be limited, appropriate, instructional, and brief.

Teachers should explain or request permission before physically repositioning a student's hands, arms, posture, or instrument.

Families may request a no-contact teaching approach.

Physical discipline is never permitted. Student discomfort or boundaries must be respected immediately.

In-Home Supervision & Lesson Space

A responsible adult must remain present on the property for lessons involving minors.

Teachers are not childcare providers.

The lesson space must be safe, accessible, quiet, and appropriate.

Pets should be secured when needed, and parking or entry instructions should be accurate.

Smoking, unsafe behavior, threats, harassment, or hazardous conditions may cause cancellation or termination.

Little Apollos Supervision

Caregiver participation may be required for Little Apollos™ Music & Play depending on age, readiness, and format.

Caregivers remain responsible for supervision, toileting, health, and behavioral support.

Apollo instruction is not daycare or unsupervised childcare.

Group Conduct

Apollo may pause participation, require caregiver support, recommend private placement, transfer the student, or end enrollment when behavior makes the environment unsafe or prevents effective instruction.

Media Consent

Apollo uses a separate affirmative media choice during enrollment.

Families may authorize identifiable photos or video for Apollo marketing, authorize internal educational recording only, or decline identifiable media use.

Marketing media authorization should not be preselected. Families may decline marketing use without losing normal lesson access.

Representative, staged, or AI-generated imagery should not be described as an actual enrolled student.

Communication Policy

Families are encouraged to communicate respectfully and professionally with teachers and staff.

Apollo Music Academy maintains business communication hours and response timelines.

Immediate responses outside business hours are not guaranteed.

Recitals & Events

Apollo Music Academy may offer optional performances, showcases, recitals, and academy events.

Participation requirements, attire, fees, rehearsal expectations, and schedules may vary by event.

Event details are subject to change.

Photography and recording may occur during events.

Force Majeure & Emergency Operations

Apollo Music Academy reserves the right to:

  • Modify schedules
  • Transition online
  • Reschedule services
  • Adjust operations

due to circumstances beyond reasonable control, including:

  • Illness outbreaks
  • Natural disasters
  • Facility closures
  • Internet outages
  • Emergencies
  • Government restrictions

Intellectual Property

All Apollo Music Academy curriculum, lesson structures, videos, graphics, worksheets, educational systems, branding, and materials remain the intellectual property of Apollo Music Academy.

Materials may not be:

  • Reproduced
  • Distributed
  • Shared publicly
  • Commercially used

without written permission from Apollo Music Academy.

Policy Updates

Apollo Music Academy reserves the right to update policies, tuition structures, scheduling procedures, and operational guidelines at any time.

Updated policies will be communicated to enrolled families when applicable.

By enrolling in Apollo Music Academy programs, families acknowledge that they have read, understood, and agreed to the policies outlined in this handbook.
